How to Share Emails on Mobile Devices
More than half of all emails are read on mobile devices. Whether you're commuting, traveling, or simply away from your desk, you might need to share an important email right from your phone. Here's how to do it seamlessly with EmailShot on both iPhone and Android.
Why Share Emails from Mobile?
There are plenty of situations where sharing an email from your phone is faster and more practical than waiting until you're back at your desk:
- Time-sensitive communications: A client sends an urgent email that your team needs to see immediately. Share the link in Slack or WhatsApp from your phone in seconds.
- Travel receipts: Hotel confirmations, flight itineraries, and expense receipts often need to be shared with your finance team or travel coordinator while you're on the go.
- Quick context sharing: In a meeting outside the office and need to reference a specific email? Generate a link and share it with the room instead of reading it aloud or trying to forward it.
- Customer escalations: Support managers can quickly share customer emails with the engineering team without getting back to their desk first.
The key advantage of using EmailShot on mobile instead of forwarding or taking a screenshot is that you get a clean, formatted link that preserves the email's full content, links, and attachments — and the recipient doesn't need a Gmail account to view it.
EmailShot on Mobile
EmailShot works as a Gmail add-on, which means it's available wherever Gmail is — including the official Gmail app on iOS and Android. There's no separate app to install. Once you've added EmailShot from the Google Workspace Marketplace, it appears in your Gmail app automatically.
If you haven't installed EmailShot yet, check out our getting started guide for a complete walkthrough. The installation takes less than 30 seconds and works for both personal Gmail and Google Workspace accounts.
Sharing from iPhone (iOS)
Here's how to create a shareable email link using EmailShot on your iPhone:
- Open the Gmail app on your iPhone
- Navigate to the email you want to share
- Scroll to the bottom of the email — past the message content and any signatures
- You'll see a row of add-on icons. Tap the EmailShot icon
- EmailShot opens in a small panel at the bottom of the screen
- Configure your sharing options if needed (retention period, privacy settings)
- Tap Create to generate the shareable link
- The link is copied to your clipboard and ready to share
iPhone-Specific Tips
- Use the iOS Share Sheet: After copying the EmailShot link, tap the share button in Safari or any app to send it via iMessage, WhatsApp, Slack, or any other installed app
- Siri Shortcuts: While EmailShot doesn't have native Siri integration, you can create a shortcut that opens a specific EmailShot link for quick access
- Widgets: Save frequently referenced EmailShot links to your Notes app and pin that note as a widget on your home screen
- AirDrop: Copy the link and AirDrop it to a nearby colleague's device for instant sharing
Sharing from Android
The process on Android is nearly identical:
- Open the Gmail app on your Android device
- Open the target email
- Scroll down to the bottom of the email to find the add-on icons
- Tap the EmailShot icon
- The EmailShot panel appears at the bottom of the screen
- Adjust your sharing options if needed
- Tap Create to generate the link
- The link is copied to your clipboard
Android-Specific Tips
- Quick Share / Nearby Share: Use Android's built-in sharing features to send the EmailShot link to nearby devices
- Pin to clipboard: Some Android launchers let you pin clipboard items — useful for links you'll share multiple times
- Direct Share: After copying the link, many Android devices show direct share targets (specific contacts or conversations) when you long-press the clipboard notification
- Google Keep: Save important EmailShot links to Google Keep notes for organized access across all your devices
Tips for Mobile Sharing
Regardless of whether you're on iPhone or Android, these tips will help you get the most out of EmailShot on mobile:
Use Your Phone's Share Sheet
After generating an EmailShot link, take advantage of your phone's native share sheet to send it via any messaging or communication app. This is often faster than opening the target app, finding the conversation, and pasting manually.
Share Instantly via Messaging Apps
EmailShot links generate OpenGraph previews on most messaging platforms. When you paste an EmailShot link into WhatsApp, Telegram, Slack, or iMessage, the recipient sees a rich preview card with the email's subject line — making it immediately clear what the shared link contains.
Save Links for Later
Not ready to share immediately? Copy the link and save it in your notes app for future reference. EmailShot links remain active according to your configured retention period, so you can share them hours, days, or weeks later.
Set Default Options
If you frequently share emails from mobile, save time by configuring your default sharing options in the EmailShot settings. That way, you don't need to adjust privacy and retention settings every time — just tap Create and go.
QR Code Sharing
Some users generate QR codes from their EmailShot links for in-person sharing. This is particularly useful in:
- Meetings and conferences: Share an email with an entire room by displaying a QR code
- Print materials: Include an EmailShot QR code on a printed document to link to the digital email
- Point of sale: Share receipts or confirmation emails with customers in retail settings
You can generate a QR code using any free QR code generator — simply paste your EmailShot link as the URL.
Mobile vs. Desktop: What's Different?
The core EmailShot experience is the same on mobile and desktop, but there are a few differences to be aware of:
| Feature | Desktop (Gmail Web) | Mobile (Gmail App) |
|---|---|---|
| Add-on location | Right sidebar panel | Bottom of email |
| Link generation | Same speed | Same speed |
| Sharing options | Full options available | Full options available |
| Copy to clipboard | One click | One tap |
| Smart Chips | Paste into Google Docs | Not available in mobile Docs |
| Sharing method | Paste anywhere | Paste + native share sheet |
The most notable difference is the add-on's position: on desktop it's in the right sidebar, while on mobile it appears at the bottom of the email after scrolling past the message content.
Troubleshooting
If you're having trouble using EmailShot on mobile, here are the most common issues and solutions:
EmailShot Icon Not Visible
If you don't see the EmailShot icon in your Gmail app:
- Verify installation: Make sure the add-on is installed from the Google Workspace Marketplace. You can check your installed add-ons in Gmail Settings > Add-ons.
- Use the official Gmail app: EmailShot only works with the official Gmail app from Google. Third-party email clients like Outlook, Spark, or Apple Mail don't support Gmail add-ons.
- Scroll to the bottom: The add-on icons are located at the very bottom of the email, below the message content. Make sure you've scrolled all the way down.
- Restart the Gmail app: Sometimes a fresh app restart is needed after installing a new add-on.
- Check your account: Make sure you're logged into the correct Gmail account — the one where EmailShot is installed.
Link Not Generating
If the link doesn't generate after tapping Create:
- Check your internet connection: EmailShot needs an active internet connection to generate the link
- Try again: Temporary network issues can cause failures. Wait a few seconds and retry.
- Check email size: Very large emails with many attachments may take a few extra seconds to process on mobile connections.
Add-on Panel Not Loading
If the EmailShot panel appears blank or shows an error:
- Update your Gmail app: Make sure you're running the latest version of the Gmail app
- Clear the app cache: Go to your phone's Settings > Apps > Gmail > Clear Cache
- Check for Google Workspace restrictions: If you're using a Workspace account, your administrator may need to allow the add-on
